stringent. Both federal and state courts have increasingly been requiring the
production of relevant electronic documents, including e-mail with attachments.

Tracking the who said what, when
Once this system is implemented within your ASP-One account, every electronic
record is automatically captured by the Message Archiver in real-time.
This includes all incoming and outgoing e-mail. The system
confidentially organizes and securely preserves your intellectual
business assets. The Message Archiver tracks "who said what, when", and
provides you with a record of what versions, of which documents, were
distributed to whom, and when. There are four organizational levels of
access with different permissions to access data: Administrator, User,
Reviewer and Super Reviewer. Click here to review organizational

The Message Archiver (1) captures, serializes, time-dates and duplicates
all e-mail to its database, with a true copy of each e-mail concurrently
stored on its primary (2), secondary( 3) and offsite (4) storage
systems.
The following file storage processing actions are performed:
1. WRITE VERIFICATION PROCESS (5) ensures that your e-mail records are
protected as they are first encrypted and then written to the Primary
Online storage systems (2) and the Secondary NOS Storage Robot (3).
Processed e-mail records are then automatically compared with the
originals before the originals are deleted (originals are stored in the
buffer for 72 hours (6)), to verify the quality and accuracy of the
storage media recording process.
2. FILE ENCRYPTION meets National Security Agency (NSA) standards by
using AES encryption algorithms and secondary RSA encryption algorithms
before being stored. The encryption (and decryption) process is
transparent to Users.
3. PRIMARY ONLINE STORAGE (2) systems preserve in real-time
(simultaneously with the Secondary Storage Robot (3)), a permanent copy
of all e-mail archived in the Message Archiver (1) using RAID discs with
write-verification.
4. SECONDARY STORAGE (3) systems preserve a second copy of e-mail to the
Storage Robot, our near-online storage (NOS) robotic tape libraries,
using dedicated WORM (write-once, read-many) tapes and
write-verification.
5. OFFSITE STORAGE (4), with 24-hour tape rotation, for security
archives of permanent copies of e-mail stored on the Primary and
Secondary Storage systems, for the purposes of disaster recovery and
long-term storage.
The following rules-based parsing analysis is performed:
1. SCANNING is performed on e-mail headers, body text and attachments
stripping all relevant text and metadata from the e-mail record.
It scans e-mail attachments including:

Excel.xls
PowerPoint.ppt
Acrobat.pdf
Web.html
Text.txt 2. THE COMPLIANCE REVIEWER, integrated with the Messaging Archiver, uses
custom rules configured by authorized Users to flag keywords and phrases
contained within e-mail and attachments. An audit trail and reviewer
action log is created and archived.
3. SPAM is automatically eliminated from common databases searches via
the Message Archiver, by identifying common Spam recognition tags placed
in e-mail headers by Spam scanners.
4. DATABASE - all scanned text and metadata is serialized, time-dated
and written to the Message Archive's database in real time
5. LIFECYCLE MANAGEMENT OF E-MAIL, including audit trails and
administrators logs, is complete once retention and disposal schedules
are met and audit reports are generated.
